Quickbooks Online or Quickbooks Desktop? Which one is the right product for your company? Do you need access to your company file anytime, anywhere? What about your bookkeeper or accountant? Do they need access to your file anytime, anywhere? The answer to these questions can determine which Quickbooks product you will choose. However, these two products have different features which will also be a determining factor in your decision. If you are a current or previous Quickbooks user one of the differences you will notice about Quickbooks Online is it looks different than the Quickbooks desktop version. Everything is still there, just not in the same place, so there will be a learning curve in finding what you are looking for. (At least there was for me). This is an example of the homepage for Quickbooks Online. The flow chart is on the left side rather than the main focus of the window. Menu icons found in the desktop verson are listed down the right side and on the tabs across the top. You can still customize the page for your business If you have used the desktop version, then you are familiar with it's home page. It is easy to navigate, the flow chart is the main focus, you can also customize this home page to your needs. Each product has three choices to choose from, the desktop has the Pro, Premier and Enterprise Editions. The Online Solutions has Simple Start, Essentials, and Pro. The more advanced the edition you choose, the more features you receive. A Quickbooks ProAdvisor can help you with this decision. But, what are the differences between the Online version and the desktop version? The desktop version, as the name implies, resides on the hard drive of your computer. The Online version resides on Intuit's server's (or in the cloud), so you or anyone you chose can have access to your company file 24/7. The desktop version has average based inventory calculation only, and the Online version has FIFO based inventory calculation. This may be a determining factor if you keep inventory. Both products have built in reports with customization. Quickbooks Online works with Internet Explorer, Safari, Firefox and Chrome. The Quickbooks Desktop works with Internet Explorer. Users of Quickbooks have different opinions on which product they prefer. My preference is the desktop version. I have always used the desktop version and find it very user friendly and I am very familiar with it. I like the big flow chart on the home page, and through preferences I can add or remove what I want to see. The preferences in the Desktop version is under the Edit menu option. The preference setting for the Online version is under the Company tab and you just scroll down the page and answer the questions to set up the file the way you need it. Some of the answers will effect what shows on the home page. How do other accountants and bookkeepers compare the two? Quickbooks Online is much slower than the Desktop version. There are not as many reports as in the Desktop version. While doing transaction entries you need to start typing a couple of letters before the drop down menu will open (i.e. vendor name, GL account), accounts with transactions can be deleted (not good at all ), Intuit servers go down at inconvenient times. The advantage of the Online version compared to the desktop is daily backups are performed by Intuit. And it is available to the users you have assigned access to twenty-four hours a day. But, if the Online version is not the option for you but you like the idea of twenty-four hour access, hosting your Quickbooks with a hosting company would be an excellent solution. With the Quickbooks Desktop the client can give the accountant or bookkeeper access through remote control. The client would need to have Quickbooks installed on a dedicated computer that is left on for access, or not be working in the file on their computer while the accountant or bookkeeper was working in it. Hosting with a third party is the best of both worlds.
