Landlines, VoIP, Virtual Receptionist Services, and More: Which Phone Service is Right for Your Small Business?
The wide world of telephony can be a confusing place. With today's technology, there's a plethora of phone services available, and each has its pros and cons. As a small business owner, you're an expert in your field, and you may not have time to (or want to) become an authority on phone systems and services. Here are a few basics about the options out there, from landlines to VoIP to live answering services:
Plain Old Telephone Service (aka POTS). In other words, a traditional landline. AT&T, Verizon, and your local telephone company are all prime examples, and it's usually the first thing that comes to mind when people think of phone services. Since information is carried over metal wires or optic fiber, landlines are generally great in terms of reliability and sound quality. However, they may not be as feature-rich as Voice over Internet Protocol (or VoIP).
VoIP. Skype, Vonage, and other IP telephony carriers, often have a wide array of features (simultaneous ringing, the ability to easily change your call forwarding settings, email notifications for voicemail messages, etc.). It is also usually much less expensive than traditional landline services. However, sound quality can vary by location, so you may want to ask around for the best service in your area.
Also, since VoIP systems travel over broadband, if your internet or power goes out, your telephone service may go down as well. Some carriers may offer to keep a phone number on file (say, a cell phone or answering service) to which they will automatically and temporarily forward your calls. That way, there is some redundancy in place in case of an outage.
Number Hosting Services. Providers like Grasshopper will host your phone number for a small monthly fee. Unlike the options above, these services often don't provide you with physical phones. You may port your existing phone number over to them (meaning they host and take financial responsibility for it) or you may opt for them to give you a new phone number. Then, simply forward that number to anywhere you like (your cell phone, a call answering service, etc.).
Virtual Receptionist Services. Live virtual receptionist services have come a long way from the answering services of yesteryear. A live receptionist will answer your calls cheerfully and professionally and transfer them to you live or offer to take a message - all for a fraction of the price of an on-site employee. As with number hosting services, you'll need a secondary phone service so that they can connect calls to you. If you'd like, you can choose to publish the toll-free number they provide. However, if you already have a phone number, no need to change it;virtual answering services are able to work in conjunction with landlines, VoIP systems, or your cell phone through call forwarding.
Cell phones. Publishing or giving out your mobile number should be avoided if possible. What if your business grows? As CEO, you'd be stuck fielding calls for multiple people and to make matters worse, unable to transfer to them. And what if you're on the go? You'd like your potential clients to speak with a live person, but would you really want to face a choice between having them go to voicemail (and possibly hang up) or be able to hear the bustle of the city in the background?
Publishing your mobile number as your company phone number is usually not sustainable; however, having a business cell phone can certainly be an asset. If you are out in the field frequently or in the service industry, it can come in handy so that whoever does answer your business line - and in-house receptionist, virtual receptionist, or other support staff - can track you down. And if you're unavailable for a call, then a live person can still take a message and care for your caller in a timely and professional manner.
