Creating A Packet For A Successful Fundraiser In Direct Sales
Planning is crucial to a successful fundraiser in direct sales. Since all supplies need to be ordered and shipped, allow yourself plenty of time to get the needed supplies before approaching the organization with your fundraising proposal.
I like packets. I believe that packets are a wonderful way to organize all information in a neat and compact way for the fundraising chairperson. I buy folders at either Office Depot or Staples when they go on sale. I buy them in assorted colors but always without designs on them. I want solid colors so that I can put labels on the front of the packet.
I buy Avery labels. I use the label size that is six to a sheet. I then personalize each label before attaching it to the folder. The label will say:
Tupperware
Fundraising
Information for
Organization Name
I staple a business card to the inside bottom of the folder so that it won't get lost.
I make a decision on what products/catalog to offer and then this offer goes in the packet. If you offer two catalogs to an organization, they are disappointed if they can't use both. If you make one offer, they don't have disappointment from what they believe they are not getting.
Stapled to the catalog is a form I've prepared specifically for the organization. The form tells the buyer why they should buy, what the money raised will be spent on and when they can expect to receive their orders.
An introduction letter is very important as this letter will introduce you and your company to the organization and explain what you have to offer. My letter is one page. I have the company logo on top and then I personalize a template to each organization. I include the reasons why they should choose to hold the fundraisers, what they can expect from me and information on how to contact me.
I also include a participant letter. This is a letter that each participant receives with instructions on how to take orders, process payments and submit the orders. Along with this letter, I include an order form so that everyone involved can see exactly how to take orders and what information is required.
Finally, I include a sample of the thank you letter that each customer will receive. I want each participant and each customer to know how much their order (s) mean to me. I want them to know how to reach me with questions, comments or even additional orders.
